Announcements to National and Global Students Policy

I. Scope

This policy impacts all University personnel wishing to send announcements to National and Global students.

II. Policy Statement

To promote efficiency, any announcement intended for National and Global students must come through the established process.

III. Reason for the Policy

The purpose of this policy is to ensure that National and Global students receive announcements in a consistent and efficient manner.

IV. Procedures

This process will result in an email sent to all non-residential students and the announcement being posted on the nonresidential student home page on the myIWU portal.

  1. At least one (1) week prior to announcement date, requests should be emailed to Sue Melton in the Office of Student Services. The request should contain:
    • The exact content of the message.
    • The time frame for delivery and how long the announcement should run on the portal.
  2. The request will be reviewed by the AVP of Student Services and approved or denied. Denials will be returned to the requestor with an explanation for the denial.
  3. Student Services will run a query that identifies all current non-residential students. The query will be formatted according to University Information Technology (UIT) specifications.
  4. The query will be sent to UIT for the creation of a distribution list.
  5. After creation of the distribution list, Student Services will send the email.
    • The email will be sent from an account called myiwu.announcements@indwes.edu utilizing a standard recognizable template developed by UIT.
    • There will not be an option for students to unsubscribe.
    • Students can reply to the address which will go to a public folder monitored by Student Services. However, this will not be advertised.
  6. Student Services will post the announcement on the myIWU portal’s non-residential student home page.
  7. Student Services will continue to:
    • Send emails to all non-residential students through Datatel that need to be historied (i.e., annual notice).
    • Provide queries for specific schools that would like to send an announcement to a select population of students.
