LMS for Doctoral Student Projects Policy

I. Scope

This policy applies to student doctoral courses that are manually managed within the Learning Management System.

II. Policy Statement

To create a standard policy for the management of doctoral student courses whereas the student is not enrolled through Colleague, no credit is given, and no grade is received.

III. Reason For The Policy

To provide structure to the way student doctoral courses are maintained within the LMS. 

IV. Procedures

Requests for doctoral student courses where the creation of and the enrollment into the course is done manually will be handled in the following manner:

  • Consult with the Project Management team within UIT.
  • LMS Admin team will create the courses manually in Brightspace.
    • Requests for all new courses will be emailed to LMS-Admin@indwes.edu. Requests must be accompanied by approval from the program leader.
  • The PAU/School will manually enroll and unenroll:
    • The mentor/advisor/coach into the appropriate course with the role of trainer.

The students into the appropriate course with the role of learner.

Rules:

  1. No grades will be issued.
  2. The class list will remain current at all times.
    1. Trainers or learners who are inactive as a student or mentor/advisor/coach must be unenrolled from the courses.
      1. Inactive for a student is defined as graduated or withdrawn from the university and no longer enrolled in a degree-seeking program.
      2. Inactive for a mentor/advisor/coach is defined as no longer employed by the university or no longer serving in the capacity mentioned above.
  3. There will be an enforced limit of 35 active doctoral student courses per PAU/School.  Requests to exceed this imposed limit must be approved by the LMS Committee.
  4. An audit of the courses will be done annually and conducted by the PAU/School. 
    1. The LMS Admin team will send an annual reminder about the audit. 
    2.  The audit will require the following
      1. The PAU/School to review all courses and trainers/learners enrolled.
        1. Courses that are no longer needed are closed by assigning an end date to the course. 
        2. Trainers and/or learners that are found to be inactive (as defined above) are unenrolled.
        3. PAU/School will send a list of the courses that were closed and users unenrolled to the LMS Admin team.
        4. PAU/School will send a list of the courses that are still active to the LMS Admin team.
      2. The course must require the ability to copy assignments from a template.
        1. Courses that do not require this functionality must find an alternate delivery method outside of the current learning management system.
