Kaltura Archival Policy
I. Scope
This policy applies to all students, faculty, and employees that store videos and content on IWU’s media platform (hereinafter referred to as “Kaltura”).
II. Policy Statement
Kaltura reserves the right to implement a data management script that would apply automatic archiving rules to media assets (this functionality is hereinafter referred to as “Media Repurposing”). The following benchmark rules will apply after the implementation of Media Repurposing:
- (a) Any multimedia asset that is not called for playback within twenty-four (24) consecutive months will be archived within Kaltura, including the deletion of any Kaltura Flavors and archival of the original media file.
- (b) Any multimedia asset that is not called for playback within forty-eight (48) consecutive months will be deleted altogether.
III. Reason for the Policy
In an effort to stewards university resources and to maintain optimum performance of Kaltura, it is necessary and appropriate to remove legacy content and videos that have not been called for playback during the defined periods noted in Section II.
IV. Procedures
Media Repurposing will be performed via an automated script on Kaltura to identify, archive, and delete legacy videos and content. The system administrator for Kaltura, in consultation with the university Information Technology department, will manage any activities related to this procedure. Due to the automated nature of this activity, no additional communication will occur with Kaltura users, except for the publication of a notice on the platform.
